The Freight Elevator Is the Real Constraint
People plan an office move around the truck. The truck is the easy part. The hard limit is a steel box in the core of your building, and its numbers are smaller than most tenants expect.
Take Bentall Centre on Burrard and Dunsmuir. One Bentall at 505 Burrard has a freight cab 73 inches wide by 73 deep, rated to 3,500 pounds. Two Bentall drops to 65 by 59 inches. Three Bentall runs 70 by 60.5 inches at 3,000 pounds. Four Bentall at 1055 Dunsmuir is 105 inches wide but only 55 deep, and its shuttle cab is just 30 inches. Four towers in one complex, four different answers.

The After-Hours Window Is Not a Preference
At Bentall Centre the handbook is blunt. Moves must take place before or after business hours, between 6:00 PM and 6:00 AM Monday through Friday, or any time on weekends. Major furniture deliveries follow the same window. A delivery counts as major if it needs more than two trips in the freight elevator, and minor deliveries cannot reserve the elevator at all.
The daytime grid is blocked out anyway: reservations are restricted 6:00 AM to 7:30 AM, 11:30 AM to 1:30 PM, and 4:00 PM to 6:00 PM. That midday band exists because the complex sits over an underground concourse of roughly 50 stores with a SkyTrain connection. Mall traffic is written into the elevator schedule.
Access is its own layer. Building hours run 6:00 AM to 6:00 PM on weekdays, the complex closes to general access on weekends and statutory holidays, and after hours an access card is needed to reach tenant floors, not just the lobby. The tenant also has to notify the Manager of Tenant Services of any intended move through a Work Authorization Form, or security may halt the move.
What the Landlord Asks a Mover For
This is where office moves stall. A commercial landlord does not just want a mover with a truck. It wants a document package, early.
At Bentall Centre, obtaining the mover’s certificate of insurance is a printed line item on the move-in and move-out checklists. It names the owners and the manager as additional insureds, the handbook warns that correct spelling matters because different towers name different legal entities, and the policy carries a waiver of subrogation. The categories required are workers compensation coverage, general liability, automobile liability and employee dishonesty coverage, with an insurer rated A or better by A.M. Best.
The deadline is real. Those documents are due at least thirty days before any moving operation, and every employee of the mover has to be bonded and carry identification showing the company name. When the elevator is reserved after building hours a security guard monitors the entrance at the tenant’s cost, with a four hour minimum and forty-eight hours notice to book or cancel, and that guard covers the building entry point only, not your suite door. We file the certificate of insurance the building asks for, starting the day you book.
Protecting the Building You Are Leaving
Damage to a common area gets repaired by the building’s designated contractor at the tenant’s expense. That one line is why protection is not optional on our jobs. The mover furnishes, installs and removes floor, carpet, wall and glass protection, and it goes on the interior and exterior trim of every elevator used. Doors cannot be propped into a common hallway, hallways cannot be staging areas, and nothing sits unattended in a corridor or on the dock.
The dock has its own rules, and clearances differ dock to dock: the One Bentall zone off Pender Street is restricted to 10 feet, the Four Bentall zone off Eveleigh Street allows 12. Those zones carry a 15 minute parking restriction, so the truck works a rotation. Pallets break down in the bay before anything enters. On the street, stopping in a commercial loading zone without a commercial vehicle permit is illegal under section 21.5 of Street and Traffic By-law 2849, and zone signs with no posted times are in effect 24 hours a day. When the last cart is out, the cartons and packing waste leave with us.
Systems Furniture Comes Apart in an Order
Cubicles are not walls. A panel run is an assembly of named parts: panels, top trim, base trim and end caps, end cover and hinge assemblies, inner uprights, glides and glide supports, stabilizer feet and alignment plates. Take it apart in the wrong order and you damage parts you cannot buy in a hurry.
On a Steelcase Series 9000 structural run the order is set by the design. Top trim comes off first, held at each end and pulled straight up. Then the end cover and hinge assembly, raised after backing off the socket head screw about half an inch to clear the upright tabs. Base trim pulls out from the bottom edge, never levered from the top. Pulling one panel from the middle of a run means lifting the trim on both neighbours and backing off four screws. The whole system is specified for two hand tools, a 3/8 inch open end wrench and a 3/16 inch Allen wrench.
Storage is where panels get wrecked. Laying a panel so the bottom construction takes the load causes damage, and so does stacking mixed sizes against a wall. The right way is boards on the hand truck first so the panel rides supported by both glides. On the rebuild, glides get levelled and re-levelled so weight sits evenly, and any right angle carrying an overhung load gets an alignment plate. One trap: panels built before and after August 1979 only connect with the revised hinge, so we inventory hardware before the teardown.
IT, Servers and the First Monday
The server rack has to come back on exactly as it was, so it moves on paper first. Every device gets listed with serial numbers and asset tags, rack unit positions get assigned before anything is unplugged, and the cable layout gets photographed. Full backups run before the teardown and the recovery process is tested, not assumed.
Cables are labelled on both ends, patch panel to device, with durable heat-resistant labels colour-coded for fibre, copper and power. Rack-mount gear is secured with transport rails or removed from the rack, drives ride in padded cases, and network equipment travels in padded crates. Bag choice matters: pink poly dissipative bags shield poorly, cutting a 1,000 volt pulse to roughly 800 volts, while metallised shielding bags form a Faraday cage and cut the same pulse to about 20 volts.
Rebuild follows the diagram, not memory: racks to the documented layout, hot aisle and cold aisle orientation kept, gear up on the UPS, cables back to the recorded patch panel map. Standard guidance is to plan a full business day of testing and reserve the first business day for onsite IT support, so we build the schedule around that instead of promising a magic Monday.
Keeping the Business Running
A move is a continuity event, so we plan it like one. Separate critical from non-critical operations and set a recovery time objective for each, meaning the planned time and level of service needed to meet the system owner’s minimum expectations. Verify your backups, name a response team with a leader and defined roles, and write down recovery procedures and a communication plan.
Plan the new suite before the truck arrives too, because building rules reach into your layout. At Bentall Centre furniture sits at least 6 inches off the perimeter induction unit, heavy or built-in furniture at least 18 inches off. The move-in package there also includes directory strips that take roughly three to four weeks from order date, signage approval, an employee list for access cards and a re-keying date. That is why we start paperwork the week you sign.
Crew Safety Is Part of the Plan
BC law shapes how we staff a floor. Under the WorkSafeBC OHS Regulation, employers identify the factors that expose workers to musculoskeletal injury, assess that risk, and eliminate or minimize it. The listed factors read like a description of an office move: force, repetition, duration and posture, reaches and heights, object size, weight and handles, and work rate. The same regulation requires walkways to stay free of tripping hazards and waste not to accumulate into a hazard. A corridor full of flattened panels is a regulated condition, not just a mess.
Vancouver Offices We Plan Around
Downtown is not one kind of building. Bentall Centre dates back to 1967. The Stack at 1133 Melville Street is Metro Vancouver’s tallest office tower at 37 storeys, opened in September 2023. The Post at 349 West Georgia Street is the largest office building in the city centre. Different vintages, different rules, which is why we read the handbook before we quote. If you need furniture received and held between lease dates, our commercial moving and storage side covers that gap, and our packing crew can crate equipment and archives ahead of move night.

Frequently asked questions
How much does an office move in Vancouver cost?
It depends on the headcount, the furniture system, the IT load and what the two buildings allow. Send us the floor plans and both building names, and you get a clear, no-obligation quote agreed up front and put in writing before we start.
Why do office moves happen at night in downtown Vancouver?
Because the building says so. The Bentall Centre handbook requires moves before or after business hours, between 6:00 PM and 6:00 AM Monday through Friday, or any time on weekends. Other towers set their own rules, so we read your handbook first.
Will my boardroom table fit in the freight elevator?
The door opening usually decides it, not the cab. At Bentall Centre the freight cabs run 65 to 105 inches wide while the door openings run 44 to 50 inches. We measure the piece against the door, the cab depth and the diagonal before move night, and plan the teardown if it will not go through whole.
What paperwork does my landlord need from the mover?
At Bentall Centre it is a certificate of insurance naming the owners and the property manager as additional insureds, with a waiver of subrogation, plus proof of workers compensation coverage and bonding, due thirty days before the move. We read your building’s handbook and file the certificate of insurance the building asks for.
Do we need a security guard for an after-hours move?
That is the building’s call. At Bentall Centre a guard monitors the entrance when the freight elevator is reserved after building hours, with a four hour minimum and forty-eight hours notice to book or cancel. That guard covers the building entry only, not your suite door, so our crew stays on the suite.
Can you take apart cubicles and workstations?
Yes. Panel systems come apart in an order set by the manufacturer. On a Steelcase Series 9000 run the top trim lifts straight up first, then the end cover and hinge assembly after the socket head screw is backed off about half an inch. Pulling a panel from the middle of a run also means lifting the trim on both neighbours.
How do you move servers and network gear?
In sequence, on paper first. Every device is listed with serial numbers and asset tags, rack unit positions are mapped for the rebuild, and cables are labelled on both ends, colour-coded for fibre, copper and power. Drives travel in padded cases and gear is wrapped in anti-static materials.
How long until staff can work again?
Plan a full business day of testing after the move and reserve the first business day for onsite IT support. That is the standard IT relocation guidance and it is more honest than a promise. Health checks, confirming email, CRM and ERP are reachable, and testing backup power all belong there.
Can you move us on a weekend?
Yes. We run 24 hours a day, seven days a week. At Bentall Centre the handbook allows moves any time on weekends. Some complexes close to general access then, so access cards and entry get arranged with the building first.
Who takes away the boxes and packing waste?
We do. The Bentall Centre handbook is explicit that all cartons, packing material and garbage leave with the mover, because the building has no trash facility for them.
Send us the two addresses, the floor and suite at each end, the workstation count, and your tenant handbook if you have it. We come back with a move plan built around your freight elevator window and a no-obligation quote in writing before you commit. Insurance documents and dock bookings get filed as far ahead as the building allows. If part of the team is relocating too, our local movers handle the household side on the same booking, our commercial office moving page covers the district picture, and we work every area we serve.
